How to use ATRIUM

This guide walks you through ATRIUM, one step at a time. It is written so anyone in the office can follow along. You do not need to know computers very well. Read each step in order.

Step 01

What is ATRIUM?

ATRIUM is a helper for the office. Every day, papers come in. Some come from labs. Some come from faxes. Some come from email. Some come from other doctors.

ATRIUM looks at each paper, reads it, and pulls out the parts that matter. Then it writes a first draft of a reply or a note. The doctor reads the draft, makes changes if needed, and signs it. ATRIUM saves time. The doctor still makes every choice.

Good to know ATRIUM does not change your patient charts. It works next to your normal chart program. The doctor still has the final say on everything.
Step 02

Signing in

Open the app

On the computer, open your web browser. Go to the ATRIUM web address your office gave you. On the iPhone, tap the ATRIUM app icon.

Type your email and password

Use the email your office set up for you. Type your password. Tap or click Sign In.

Use the six-digit code

If your office turned on extra safety, ATRIUM will ask for a six-digit code. The code comes from an app on your phone (like Google Authenticator). Type the code and tap Continue.

If you are locked out Wait a few minutes and try again. Make sure your password is right. If it still does not work, ask the office admin to reset it. Do not share your password with anyone.
Step 03

Your dashboard

After you sign in, you land on the Dashboard. Think of it as the front page of your day. It shows you:

  • What needs your eyes today. New labs, new faxes, new letters.
  • Drafts waiting to be signed. ATRIUM has already done the first writing pass.
  • Quick numbers. How many items came in today, how many are done.

Tap any card to open it. The goal each day is to get the dashboard to zero. That means everything for today is reviewed.

Step 04

When new papers arrive

Papers arrive at ATRIUM in four ways:

  1. Fax. A fax comes in and ATRIUM picks it up.
  2. Lab. Lab results are sent in.
  3. Email. A letter or report is emailed in.
  4. Upload. Someone in the office scans or drags a file into ATRIUM.

Each paper goes to the Intake tab. ATRIUM reads it and tries to match it to the right patient. If ATRIUM is not sure, it will ask you to pick the patient.

To upload a file yourself Go to Intake. Tap Upload. Pick the file from your computer. ATRIUM takes it from there.
Step 05

Opening a document

Tap any item on the Dashboard or in Documents. You will see two things side by side:

  • The original paper. The fax, lab, or letter exactly as it came in.
  • What ATRIUM pulled out. A short list of the important parts. For example: patient name, date, test results, and what the result means.

Read both. If the pulled-out part looks right, you are ready for the next step. If it looks wrong, you can edit it before signing.

Step 06

Looking at the draft

ATRIUM also writes a draft. The draft is the reply or note that goes back to the patient, to another doctor, or into the chart. It is just a starting point.

Read the whole draft

Read it like you wrote it yourself. Make sure every sentence is true.

Edit anything that is off

Tap inside the draft and type. Add things. Take things out. The draft is yours to change.

Approve or send back

If the draft is good, tap Approve. If it needs more work, tap Send back. ATRIUM will try again with your notes.

Important Nothing leaves the office until the doctor signs it. The draft is just a head start. You are still the author.
Step 07

Sign Today

At the end of the day, open Sign Today. It shows every draft that is ready to sign, in one list.

  • Tap each one to read it.
  • Tap Sign if it is correct.
  • Tap Skip if you want to come back to it later.

When the list is empty, your day is done. ATRIUM will send everything to the right place.

Step 08

Ask the chat a question

ATRIUM has a chat that knows about your patients. Open the Chat tab. Type a question, like:

  • "What were Mr. Garcia's last three lab results?"
  • "Show me every PI patient seen this month."
  • "Did the MRI for Maria Lopez come back yet?"

ATRIUM looks through the documents it has and gives you an answer. It will show you which document the answer came from. Tap that document to open it.

Be specific Use the patient's full name when you can. Tell the chat the date if you know it. Better questions get better answers.
Step 09

PI Cases and forms

PI stands for Personal Injury. These are patients hurt in a car wreck or at work. They need extra forms.

Open the PI Cases tab to see every PI patient. Tap one to see all their visits, notes, and bills together.

ATRIUM can fill out forms for you. Two common ones:

  • DWC-73. A workers' comp form.
  • PI Visit Tracker. A list of every visit with dates and codes.

Tap Spreadsheets, pick the form, and pick the patient. ATRIUM fills in what it can. You check it. You sign it.

Safety check If a form looks like it has more than one patient on it, ATRIUM will stop and ask you to pick the right person. This keeps records from getting mixed up.
Step 10

Using the iPhone app

The iPhone app has the same tabs at the bottom: Dashboard, Intake, Documents, and Chat. The other tabs (PI Cases, Sign Today, Settings) are under the More button.

On the iPhone you can also use Face ID. Open the app, look at the screen, and you are in.

The phone app is great for signing drafts on the go. Same Sign Today list, same approve button, just smaller.

Step 11

Helpful tips

  • Check the Dashboard once in the morning. See what came in overnight.
  • Use Sign Today at the end of the day. Clear the list before you go home.
  • Read the draft, even if it looks right. A small mistake is easier to fix now than later.
  • Use the chat to find old records fast. It is faster than scrolling.
  • Sign out when you leave the computer. Tap your name, then Sign out.
Step 12

When something goes wrong

The page will not load

Refresh the page (press F5 or pull down on the phone). If that does not work, sign out and sign back in.

The draft looks wrong

Edit it. Or tap Send back and add a short note like "wrong patient" or "missed the lab result." ATRIUM will try again.

A patient name is not in the system

Check the spelling. Try first name only, or last name only. If they are still missing, the patient was not added yet. Ask the office admin.

I forgot my password

Ask the office admin to reset it. Do not write your password down where others can see it.
